01 Scope and responsibility

TVibe Corporation Limited operates TVibe Mail Service for authorised business users. It connects a designated Gmail mailbox to TVibe’s project-management workflow. This policy covers the mail service, related operational records and this public information website.

The service is not a public email platform. Client material and project work may also be covered by the relevant client agreement. Google, OpenAI and other service providers have their own terms and privacy policies.

02 Information we access

With the account holder’s authorisation, the service requests these Google permissions:

  • Read Gmail messages and settings (gmail.readonly). This scope allows access to mailbox information, messages, message headers, bodies and attachment content. The worker uses message history and message identifiers to retrieve new or missed mail.
  • Send email (gmail.send). This allows the service to send authorised messages from the connected account and record the resulting message identifiers.

Read permission covers the connected mailbox, not only messages already known to be project assignments. Synchronisation and recovery may retrieve archived, spam or deleted-folder messages within the processing window. Synced messages later classified as unrelated may remain in the local mail archive.

Records can include sender and recipient addresses, subject lines, timestamps, message bodies, attachment content when needed, project links, task identifiers, replies, processing status and evidence of authorised actions. OAuth tokens are stored separately from public website content.

03 Why we use this information

  • Recognise assignment notices, project messages and replies, and associate them with the correct PMS task.
  • Check materials and project instructions within the operator’s authorised workflow.
  • Send completion notices, requests for approval and operational fault alerts.
  • Prevent duplicate processing, recover interrupted work and investigate faults.

TVibe does not sell Google user data or use it for advertising, credit decisions or training general-purpose AI models. We handle information obtained through Google APIs in accordance with Google’s User Data Policy, including its Limited Use requirements.

04 Providers and AI-assisted processing

Mail synchronisation and routine filtering run as local software. When an authorised workflow needs AI assistance, relevant email content and project context may be provided to OpenAI through Codex to interpret instructions, review project information or prepare a response. The workflow may also access the associated PMS and material providers, and send authorised communications to the project participants.

Only information needed for the authorised task should be used. Mailbox credentials and OAuth tokens are not intended to be included in model prompts, public pages or delivery files. This website itself does not send mailbox content to an AI service.

Authorised TVibe personnel may review task information for project work, support and fault investigation. Service providers process information under the applicable account settings, terms and agreements. Processing may occur outside the country where the operator’s computer is located. TVibe does not offer mailbox data to third parties for their independent advertising or model-training purposes.

05 Storage, security and retention

The mail worker stores synced message originals, processing records and relevant evidence on the authorised computer and its configured storage. Authorised backup or migration copies may also contain these records. Access tokens and refresh tokens are held in separate local files with restricted file permissions. Connections to Google’s API use HTTPS.

The 30-day rule applies to the short conversation cache. It does not automatically delete original email archives, audit identifiers, screenshots, project files, backups or Codex conversation history.

Those other records remain until they are removed under the applicable project, support or record-retention arrangements. There is no universal automatic deletion period for all service data. Retention within Google, OpenAI or another provider is controlled separately under that provider’s account settings and terms.

We restrict access to authorised operators and apply reasonable safeguards appropriate to the information. No system can guarantee uninterrupted service or eliminate every security risk.

06 Your choices and removal requests

You can stop the local worker and revoke TVibe Mail Service’s access in your Google Account’s third-party connections. Revocation prevents further authorised API access once it takes effect; it does not itself erase previously saved local records or copies already sent to another service.

To request access, correction or deletion of records held by TVibe, contact balancel@tvibe.com. We may need to verify your identity and authority over the project or mailbox. We will explain any records that need to be retained for an applicable contractual or legal reason. Removal requests do not cause this app to delete messages from Gmail: its requested scopes do not grant that permission.

07 Visiting this website

This is a static information website. It has no mailbox connection form, advertising, analytics scripts or tracking cookies. The hosting server or reverse proxy processes network information, such as IP addresses and request details, to deliver pages and protect the service; any infrastructure logging depends on the host’s configuration.

Following a link to Google, the PMS, OpenAI or another website is subject to that service’s own policies. Sending an email to our contact address shares the information you choose to include.

08 Changes and contact

We will update this page when the service’s data practices change. Material changes to the use of Google user data will be disclosed before the new use, with renewed consent where required.
